Registration cheatsheet
Dear FOSS4G 2016 future participant,we would like to share a few significant details for your attendance to the biggest annual OSGeo event.
We prepared the Early Bird Registration that we highly recommend you take advantage of. Why? (1) you get a considerable reduction in price and (2) you help us better plan your conference.
FOSS4G 2016 early bird registration will open on the 15th of April. You will then have 24 days to secure your place to meet the geospatial's gurus. Is your favorite coming? Check the full FOSS4G 2016 program, which will be available starting with 30th of April.
The Early bird registration will close on the 8th of May.
The full registration will close on the 19th of August. It is still possible to register for the conference locally in Bonn, but please note that we can only accept cash payment.
We encourage all FOSS4G 2016's future participants to register as soon as possible.
Registration fee covers mostly everything you want to do and receive from FOSS4G 2016: the full three days of the core conference, the conference bag, the FOSS4G 2016 T-Shirt, lunch, snacks and drinks, free access to our Ice Breaker and, importantly, access to our Gala Event with dinner included. However, if time will not be your friend and you can't stay with us during the entire event, you have the possibility to acquire single day tickets. The extra tickets for the Gala Event choice is also available. If you are in any of the situation, please contact us for further details.
For your convenience, we have prepared a Hotel Booking System to assist you in finding the perfect accommodation while in Bonn. You will be forwarded to this system as soon as your registration process is completed. The usage of the system is not mandatory. However, if you chose to do so, you will get a free public transport ticket for your entire stay in Bonn. -

Travel Grants
Since 31st of May, the Travel Grant Programme is closed and the Local Organizing Commitee has finally decided who of the candidates is part of the programme. We were happy to recieve many applications from all over the world, but unfortunately not everybody was accepted.

In order to guarantee a transparent and fair allocation of funds, the travel grant programme uses a points system for ranking applications. Points are awarded if applicants match specific criteria, see below. After the application phase is over, all applicants are ranked by points, and the applicants with the most points will receive funding. The point system allows a maximum of 9 points. Please note that the purpose of the travel grant programme is to enhance diversity at the conference - we might reserve a few programme spots for people with unique and outstanding applications. However, the majority of programme spots will solely be determined by the point ranking. Applicants receive points for the following criteria
Origin or residence
The allocation of points is based on the world bank country rating by income.
- Applicants from Low-income economies receive 3 points.
- Applicants from Lower-middle-income economies receive 2 points.
- Applicants from Upper-middle-income economies receive 1 point.
Please note: Only applicants who are born or currently live in countries in these three groups are eligible for the travel grant programme!
Gender
In order to create a more diverse community, women applicants receive 1 point.
Students
Students in general receive 1 point. If a student also participates in the studentship programme, 1 point is awarded additionally.
Submitted and accepted talks
The Local Organizing Committee values applicants who are willing to contribute to the success of the FOSS4G. Therefore we award points for people who are willing to present at the conference.
- A talk submission that is accepted earns 3 points.
- A talk submission that is denied still earns 1 point.

Studentship programme
The FOSS4G 2016 Organizing Committee offers students the possibility to attend the biggest FOSS4G conference of the year through a studentship program. In our attempt to reduce the impact of the conference expenses on an average student's budget and to welcome as many young academics as possible we would like to invite students to join our local team. The deal is straight forward, we offer a 50/50 deal dedicated to students for a free ticket: half of your time at the conference, you will help us at the welcome desk, at our info-point or, most likely, you will support the video-team by operating one of the video cameras inside the session rooms. The rest of the time, you are free to enjoy the conference, just like all the other attendees. Please note that if you want to attend the Gala Dinner, you must pay for the Gala Dinner ticket.
Since 22nd of June, the Programme is closed and we are happy to announce that 44 students from all over the world joined the deal to assist us during, before and after FOSS4G Conference.

Side Events
We are sorry to do, but because of appointment reasons and low booking rates we had to cancel our side event offers. If you are interested in side events during the conference week, please contact us (info@foss4g2016.org) ASAP and we will arrange something for you.

Terms and Conditions
Upon registration you will be sent:
A notification of registration email (generated automatically by the booking system). The receipt for your registration fee will be sent via email in due course, payment is required before the conference.
An email with final information will be sent to you early Agusut 2016.

Early Bird discount ends on the 8th of May! FOSS4G 2016 reserves the right to withdraw Early Bird packages from sale at any time without prior notification. To participate in the FOSS4G 2016 Conference advance payment is required.
All Invoices will be issued in EURO (€). Invoices will be issued on receipt of a purchase order number. If requesting an invoice, it is your responsibility to pay all additional bank charges incurred. Invoices must be paid by the 19th August 2016, if payment is not received by this date your booking will be cancelled.
Conference fees do not include travel expenses, accommodation or other items than the services listed on your final bill. Your registration can not be informally transferred or used by a colleague at the event, you must use the process described below.Cancellation Policy
1. Cancellation
Cancellation must be notified in writing to the secretariat. Please refer to the following cut-off date for cancellation. All refunds will be made after the conference due to administrative reasons. The bank charges will be deducted from the refunded amount.Cancellation by June 30th, 2016 will incur a 25% charge. Cancellation from July 1st to August 7th, 2015 will incur a 50% charge. We regret that there will be no refund for cancellations after August 7th, 2016.
2. Transfer your booking to a colleague:
One replacement delegate per registration is permitted and must be confirmed by email to info@foss4g2016.org. Requests to change a delegate’s name before 07th of August will not incur a charge thereafter replacements will incur an administrative fee of €20.Privacy Statement
